Sharing WorkWise Procedures
This article will walk you through how you can share WorkWise procedures with your colleagues and other members of your organization.
Sharing is a feature that allows users to easily share WorkWise procedures via URL or QR code. You have two options when sharing a procedure:
1) You can choose to make the procedure private so that a WorkWise account is required to view the procedure.
2) You can choose to make the procedure public to anyone with the link, no WorkWise account required.
In this article, we will go through the process of sharing a WorkWise procedure via both methods.
Sharing via private link (WorkWise account required)
To share a procedure, go to the procedure page and click the 3-dot menu in the top right of the page. Select "Share".
A modal will pop up with the sharing options.
By default, the URL that is shown will require a WorkWise account to view the procedure. You can copy this link to your clipboard by clicking the "Copy link" button. A QR code is also available to copy to clipboard, download the image to your computer, or print it out. Scanning this QR code will take you to the procedure once the user is logged in.
Sharing via public link (WorkWise account NOT required)
You also have the ability to create a public link which can be viewed by anyone, with or without a WorkWise account. In order to create a public link, a user with the Admin role must first enable this feature. To enable public sharing, go to a procedure page, click the 3-dot menu in the top right of the page, and click "Manage access".
A modal will pop up with the option to enable public sharing.
Toggle ON the option that says "Allow content to be shared & embedded with the public URL".
Once enabled, you will see a public URL show up which you can copy to your clipboard.
Please note: public URLs allow anyone with the link to view the procedure, regardless if they have a WorkWise account or not. Use caution when sharing this link to help prevent the possibility of your procedure being viewed by anyone you might not want to see it. In the case that your link is compromised, you can create a new public link by clicking the "Regenerate" button in the above modal. This will create a new public link and it will break any previously-generated public links.
Once a public link has been generated, you can always access it via the Share modal.
To access the public link and/or QR code, click on the dropdown and select "Public access".
The QR code will take users to the publicly accessible link.
